Reattach fridges’ front panel by December 15th

To comply with safety regulations, all front panels on fridges must be properly installed. Fridges must not have open access to electrical wires at the bottom.

Hubs with missing panels are required to reattach them by December 15th to ensure compliance with inspection standards. You should have already the pannels in your hub, but if not, please contact Marina Tirado.

Shift Lead & OA+ Quarterly Connect

Last week, we held the Q4 Shift Lead & OA+ quarterly connect, where we gave an update on the business and highlighted the priorities for the hub for the next months ahead. In case you were not able to join this insightful session, please see the recording here (Passcode: s9PBA&wG).

Policy compensation during bank holidays for Shift Leads & OA+

The policy in regards to the bonus for Shift Leads and during Bank Holidays has changed, and now includes OA+. The new policy stipulates that, during Bank Holidays, Shift Leads & OA+ are entitled to a €5 Gross bonus per worked hour. You can read more about the new policy here.

The information regarding the bonus for Riders and Pickers during the holiday period will be shared at a later time via Qmail and in the next newsletter.

Closing Year 2024: important deadlines for correct salary payment

The year’s transition is approaching, bringing with it the need to ensure all employee-related information in SAP is accurate before the year’s end. This is critical for meeting legal obligations, and processing correct annual statements. To ensure a proper closure of 2024, please review the following information carefully and ensure deadlines are met:

Shift Leads salary payment

  • Final Payment: The last salary payment for Shift Leads in 2024 will be made on January 3rd, 2025.

  • Actions required from you:

    • Ensure all Quinyx hours for Period 13 are attested, including holiday, sick and worked hours.

    • Resolve any pending salary-related cases for 2024.

    • Deadline: hours for Shift Leads must be attested Monday, December 30th, 2024, at 12:00 Noon.

  • Note: worked hours for December 30th and 31st will be paid out with the Period 1 payment of 2025, scheduled for January 31st, 2025.

Riders/Pickers and OA+ salary payment

  • Payment week 51 (Christmas week): To make sure the salary payment is on time, we ask you to attest all hours of week 51 on Monday December 23rd, at 10:00 AM to process payment before Christmas. Payment is done on Friday December 27th.

  • Payment week 52: Stick to deadlines as usual, payment made on January 3rd 2025

    • Action Required from you: ensure Quinyx hours (worked, holiday, sick) for Weeks 50, 51 and 52 are attested by Monday, December 30th at 12:00 PM.

  • Payment week 1: no corrections are processed during this week.

  • Payment week 2: the last corrections for Riders/Pickers and OA+ in 2024 are included and paid on January 17th, 2025. This payment will include:

    • Corrections for Weeks 50, 51 and 52 of 2024.

    • Payment for Week 1 and Week 2 of 2025.

    • Action required: ensure any corrections are processed in Quinyx (worked, holiday, sick) for Weeks 50, 51, 52 are attested by Monday, January 13th, 2025, at 12:00 PM.

Corrections of 2024

If any hours worked, sick, or vacation have not been fully paid out in 2024, Riders, Pickers, OA+, and Shift Leads should contact us via the Workforce App by January 6th 2025.

The Tip Booster Programme was launched in selected hubs to reward top performing Riders and ensure tips are distributed fairly. Now that it’s been in place since October, we want to hear your thoughts on things such as:

Rider widget and other changes now in Activity/Live steering dashboard 📲 - live Wednesday

As of tomorrow, Wednesday 11.12. we will introduce the Rider widget and other changes to the Activity dashboard in Hub Portal at Hub level:

  • The Rider widget will be visible within the Riding Performance section, which moves to the right, while retaining all the previous information under Riding.

  • The Inside Hub and Inventory columns will be combined into a single column on the left, with no changes to the information displayed.

The purpose of adding this widget is to display everything you need to see at a glance on the big screen in the activities tab. The orders tab will eventually become a page to use only at the desktop for deepdiving into order specific data.

Stock level now included in BBD Checks and other updates 📲

Starting Wednesday 11th, you'll be able to see the current stock of a product during BBD checks. This will help you identify if there are additional products in the backstock that need to be checked.

We've also introduced other improvements to the checks:

  • BBD and Freshness Checks will now be automatically deleted when the stock hits zero, just like Low Stock Checks.

  • We added a rule to the Low Stock Checks to not include items that have been counted in the previous 4 days.

With these improvements, we already reduced the amount of unnecessary checks by around 60%, while keeping the issue rates stable!

Box cushions

To reduce the number of damaged items during delivery, there are cushions available to place inside the thermoboxes. There are 2 types, so make sure to order the correct ones depending on the container’s size:

Reminder: re-delivery check workflow 🔁

With the introduction of the Help Center to request item refunds, it’s crucial to be more careful with re-deliveries. That’s why it’s important to always use the re-delivery check workflow in your hub’s Customer Care Slack channel for every re-delivery, including quick corrections that Riders handle during their trips. This ensures we prevent situations where customers receive both a re-delivery and a refund.

Important to keep in mind:

Only entire bags or orders that were forgotten or delivered to the wrong customer may be re-delivered. Single items should not be re-delivered. This is because it’s often more expensive to re-deliver an item than processing a refund, and re-deliveries negatively impact your hubs’ and your employee’s UTRs.

The list will be published at 16:00, so please check around that time.

The changes will go live tonight between 1am and 7am, so please move the products to their new locations tonight after closure/tomorrow morning.

🤓Don’t forget the back stock! When moving products to their new shelf, always remember to check and reposition any backstock on the top shelves as well!

Why do we do shelf changes?

Shelf changes are primarily made to optimize product placement, such as moving items from an S to an XS shelf. This allows the shelves to be listed in more hubs than they currently are, expanding the assortment’s size across all hubs rather than concentrating it in only the larger L or XL hubs.

For example, by consolidating products on an S shelf, we can free up space on a relatively empty M shelf and streamline product placement from top to bottom.

This process will continue in the near future as we work to broaden our assortment. Expanding our assortment ultimately increases the potential basket size for customers.

If you notice products that don’t fit the shelves when following the facings, flag them via the “Facings feedback” option in Hub Alert.
