New reimbursement process of travel expenses for the BHV training
We just launched a new process for reimbursing BHV training travel expenses. Here’s how it works:
Travel expenses incurred when traveling to your BHV training location will be reimbursed. Starting October 1, 2024, travel reimbursements will no longer be processed via Payhawk. Instead, your travel expenses will be automatically forwarded to the Payroll team, with no action required from you or your manager. Reimbursements will appear on your payslip approximately one month after the expense date.
Please note that parking costs will not be covered. If your training is in Amsterdam, consider parking at the Buitenveldert Hub or, for a more sustainable option, use public transportation!
Reimbursement calculation: the distance from your hub to the training location is multiplied by €0.23 per kilometer.

Customer calls: ensure Riders have “Show Caller ID” turned on
There are still many instances where Riders are not able to call the customers. If your Riders experience these issues, make sure they have:
The correct phone number in their Workforce App account
The ‘Show My Caller ID’ setting turned ON on their phone
Here’s how to do it on iOS:
Here’s how to do it on Android:
Open the Call App and go to Settings.
Select Supplementary Services or Calls.
Choose Caller ID and, in the dropdown, select Always.
The process on Samsung:
🙋♀️ If the Riders still have issues despite these settings, report them on #tech-hub-service-nl and provide the order ID or timestamp of when the call failed

Reminder: no flyers in JET orders
Please do not put Flyers in External (JET) orders! This is important due to contractual agreements.
OAs will see a pop-up at the end of the picking screen for external orders informing them of this:
Please follow the instructions provided.

Unassigned products with correct shelf number
Recently, products not assigned to your hub showed “999X” during inbound and only switched to the correct shelf number after 10 mins. We have fixed this issue!
Now, unassigned products with a shelf (different from 999X products without a shelf) will display the correct shelf number directly during inbound.
This will result in far fewer 999X products after inbound and no more 999X products switching to a regular shelf post-inbound.

Here’s how to see your vacation balance:
Open the Workforce App and on the top-left corner, go to the hamburger menu.
Select My account.
Scroll down to Vacations balance.

Second inbound round instead of stock correction
We encourage you to consider a second round of inbounding instead of the stock correction, as this can improve your overall performance metrics.
Stock corrections should be reserved for previous days errors and to reduce stock as needed.

Why do we do shelf changes?
Shelf changes are primarily made to optimize product placement, such as moving items from an S to an XS shelf. This allows the shelves to be listed in more hubs than they currently are, expanding the assortment’s size across all hubs rather than concentrating it in only the larger L or XL hubs.
For example, by consolidating products on an S shelf, we can free up space on a relatively empty M shelf and streamline product placement from top to bottom.
This process will continue in the near future as we work to broaden our assortment. Expanding our assortment ultimately increases the potential basket size for customers.
If you notice products that don’t fit the shelves when following the facings, flag them via the “Facings feedback” option in Hub Alert.
