Flowtify (Shift Leads)

Flowtify is the app where you can complete your daily/weekly/monthly tasks and checks. These include the Temperature Check, Cleaning Checks, Fleet Checks, among others. The app is always easily accessible in your Zebra.

Instructions

Overview

  • In the "Current" column, you can see all the checklists that need to be performed. A checklist may contain several tasks within it. The checklist that has the shortest timeframe to be completed is always the first one at the op. The checklists are sorted through colors:

    • White: shows the total number of tasks still open within a checklist.

    • Green: shows the number of already successfully completed tasks.

    • Yellow: shows tasks that have a deviation from target values.

    • Purple: indicates the tasks where anomalies were reported during completion.

    • Red: indicates tasks that have not been completed in time.

How to Complete Checklists and Tasks

  1. Tap the title of a checklist to open it. You will see all tasks within that checklist.

    1. If you need to see more information about the task, tap on the task to open its full display. Keep in mind that there could be a written description, PDFs, videos, or photos. You can open any attachments by tapping on their corresponding icon.

  1. Swipe from right to left on the task’s title to open it.

    1. If there are multiple steps within a task, you will see a blue number next to the task that displays the amount of steps.

    2. The blue line at the top of the screen indicates which steps are already completed (which are represented as blue dots within that line).

  1. After completing a step, the blue button leads you to the next step.

  2. Go through all the steps until you have completed all of them.

  3. Once you’ve completed the task in the hub and have gone through all the task’s steps on Flowtify, click the green tick button on the bottom-right. The task will be marked as completed.

    1. Note:

      You may need to sign off a task before completing it.

  4. Once you are done with all the tasks within a checklist, the checklist’s color will change to gree.

How to upload pictures in a task

  1. Click the camera symbol on the top, right-hand corner wherever you are required to do so in the steps of the task.

  1. Take the picture and upload it as indicated.

If you need to add photos after a task has been completed:

  1. Tap the title of the task to reopen it.

  2. Click the camera icon on the top, right-hand corner (same place as above).

  3. Take the picture and upload it as indicated.

  4. To exit the task, tap on the red "X" in the upper right corner.

How to undo a task with a wrong entry

In order to undo a task where you have accidentally made a wrong entry:

  1. Open the task again and click on the circular arrow between the red X and the camera icon.

  1. Now reenter the correct information, or leave it empty, depending on what would make more sense in the moment. Once you’re done, click on the red X to leave.

    1. Note:

      Every change to a task is documented in the task history.

How to handle a task that cannot be completed

  1. If you are unable to complete a task, you can start this process in two ways:

    1. Swipe from right to left on the task’s title and write down your reason why the task could not be completed as expected;

    2. Tap on the title of the task to open it. You will find additional information or attachments.

  1. Next, click on the violet button to enter an explanation.

    1. The better you describe the problem, the faster it can be solved. Your supervisor will also have less questions to ask and can solve the issue in a timely manner.

  2. Once you’re done, the task will be displayed at the beginning of the checklist under a purple color.

How to do a re-measurement/follow-up check

When you are performing a task and a deviation occurs, you may be asked to do a re-measurement/follow-up check.

  1. When the value you entered is not within the allowed setpoints, a pop-up will appear where you are asked to confirm the value. If the value is indeed correct, click the blue “proceed” button.

  1. If you are asked for a re-measurement/follow-up check after confirming the entered value, you will see a countdown.

    1. The countdown indicates how long you have to wait until it's time for the re-measurement/follow-up check.

  2. On the bottom-right corner, click the blue arrow button to go back to the checklist overview.

  3. You can devote yourself to other activities in the meantime.

  4. When the time has come to perform the re-measurement/follow-up check, an alarm bell will ring.

    1. You can either go straight to the task or take care of the issue later.

      1. If you can't take care of the problem immediately, the checklist that includes the re-measurement/follow-up check will flash yellow to remind you of it.

  5. To solve the open issue, click on the checklist, select the yellow flashing task and perform the re-measurement/follow-up check.

    1. If the new value is within the allowed setpoints, the task will be marked green for success.

    2. However, if the value deviates from the allowed setpoints again, you may receive instructions to perform further actions:

    3. Click on “Proceed” to confirm these instructions and state what measures you have taken to fix the issue.

      1. You can either choose an answer from the list, or enter your own explanation by selecting "other." We encourage you to be as precise as possible so that your supervisor can act accordingly.

    4. The task will now be displayed at the top of the checklist and highlighted in orange, meaning that the re-measurement/follow-up check was not successful.

      1. The Hub Manager will then check it on the dashboard.

Starting Checklists Spontaneously

If there are any checklists that can be started spontaneously, meaning with no time pressure on your part, you will see a green cloud with "Online" at the bottom right of the screen.

  1. Click on the green cloud to access the list of spontaneous checklists.

  1. To start a checklist, tap on the "Plus" symbol in the menu bar in the checklist overview.

  2. Tap the title of the checklist you want to complete.

  1. A pop-up will appear where you can click the “Start” button in order to start performing the tasks in the checklist.

  1. Complete the checklist as instructed above in this page.

Important:

  • Starting checklists spontaneously has no influence on the regular repetition interval.

  • Checklists that were started spontaneously have a corresponding note in the title.

  • If certain checklists need to be started more often and you don't want to search or filter for them every time, you can mark them as favorites by clicking the pin symbol.
