[ACTION] Winter readiness
Winter is coming, and to be prepared we need all the hubs to take few actions so when the extreme cold arrives, the temperature in the hubs stays comfortable. For this, we need you to take few actions:
Remove all heaters. We know this may seem contradictory but heaters take a lot of electricity capacity. Our network is not dimensioned to have these heaters plugged in. We’ve already seen power outages due to heaters being used. Additionally, all our hubs have AC units installed so let’s make sure to use them!
Make sure to have your flaps hanging. All the hubs should have received curtain flaps to install in the main door (the one that needs to be open due to riders constantly coming in/out). These need to be hung to make sure that the warm air blown by the AC units stays inside and the cold air from the street stays out of the hub.
If you don’t have the flaps in your hubs or the rail needs to be installed, submit a request by using the Property Management and External Services form. You will find the option under Building/Construction - Doors. If the railing is there from last year, just make sure to hang them.

[ACTION] Tolerance temperature settings on fridges
Storing food in our fridges at the correct temperatures are fita to food safety and shelf life.
We have 2 different temperature settings to take into account:
The Set temperature - This is the preferred temperature that we would like to store our food at at all times.
The Tolerance temperature - This is the minimum and maximum variation in temperature that we can have in our fridges based on the products we store inside.
Set temperature settings:
Fresh fridges - 3 degrees
Met fridges - 2 degrees
Walk in fridge - 2 degrees
Drinks fridge - 7 degrees
Tolerance temperature settings:
Fresh fridges - 3 degrees
Meat fridges - 2 degrees
Drinks fridges - 4 degrees

Based on your feedback (via Hub Alert), we’ve updated the (Fresh) Checks in HubOne. Below you will find what has been updated and actions to be taken by the hub.
What’s changed?
💡 Fresh Check Logic
We’ve updated the Fresh Check logic. Meaning, eg. no more canned products to check on a daily basis. The majority of F&V products are checked daily and 3 times per week now. If you’re still in doubt, please double check by creating a Hub Alert ticket before discarding - please always add a (clear) picture to your ticket.
💡 Inventory Check Prioritisation
Please find the Shelf Check Prioritisation in the table below. Please keep an eye on the Flow Management Dashboard to see what Shelf Check has the most priority when delegating OA tasks. We’re working on a better prioritisation visibility in HubOne to make it easier for (new) OAs when to perform which check.

Hub Actions (please read carefully)
🚨 Please remove ‘When to Outbound’ prints ASAP from the fridges. The customers’ days before expiry information available is replaced by the when to outbound instructions in BBD Checks. Only trust the when to outbound information in the BBD Check.
🚨 Create a Hub Alert ticket for any issues (eg. wrong product in check / missing product in check), as this is still used as valuable feedback to improve the Shelf Checks.
🚨 Follow Check instructions in HubOne for Customer - Shelf life 0 (C-SL) products (not old way of working). You can still keep the products in the fridge for the SAME day to sell.
🚨 Bakery products outbound end of day, a Fresh Check is only triggered if there is still old stock present from previous day.

Marketing Activities Updates

[ACTION] Sinterklaas activation
What
Sinterklaas will be in the country next week. Similar to what we did last year, we will set up a campaign from marketing where customers can add a drawing to their basket while ordering.
Then, we encourage the kids to bring back the colouring plate to their nearest hub and, in return, they get treated with something sweet! Either a chocolate or candy - basically any candy that you have in higher stocks. Here, there are no specifications in which type of candy you can give.
Process
The colouring plates will be sent out this week (CW45) to the hubs.
How to know when to add a colouring plate to the order?
The colouring plate will be in the app as an SKU.
Therefore, the customer can add it to their order as if it was a SKU.
Once a customer has added it to the order, Picker/OA receives a notification and should then add the colouring plate in the bag. For reference, the colouring plate looks like this:

💡 There won’t be shelf space for the colouring plates. Therefore, these should be placed next to the flyers e.g., where they are visible and easy to pick up.
