  • If an employee has an accident in or outside the hub, please make sure to fill in the accident form. We noticed that we missed some accident forms which are crucial to have for any insurance matters and / or get the Inspectorate SZW involved.

Hub Ops / New Processes

  • Starting from next week, the newsletter will be published at 15:00 instead of at noon. As usual, you can expect to get notified in the Slack channel #nl_all-hub-staff and via email.

[ACTION] HubOne - BBD Checks (live on Wed 15.03)

  • Actions & Deadlines:

    • All the BBD checks will be pushed on Wednesday morning at the same time as the other checks.

    • Hubs need to complete a minimum of 100 BBD-Checks in HubOne per day to reach 100% by 25 Mar. See progress in tracking sheet: NL

    • Shelves not BBD checked via HubOne need to be checked via Flowtify until relevant products are checked through HubOne.

    • Ops Associates and Shift Leads need to complete 3 min video on Northpass: ENG, NLD

    • Via Hub alert, report any products that should or should not have been included in the BBD checks and report any dates shown in the check that are not correct.

  • Key Benefit:

    • Reduce time spent on BBD-Checks by >50% (Prerequisite - FiFo principle is followed)

  • What's changed:

    • To be able to use BBD checks in HubOne, initially all relevant products need to have the closest BBD date entered in the check. The closest BBD date entered will trigger the next BBD check for that product.

    • In the BBD check, Ops Associates can outbound all products with expiry date before the date displayed, choosing from 'expired' or 'TGTG' if the best before date hasn't passed.

    • After any required outbounding, Ops Associates need to enter the next closest best before date of the remaining products in stock, which triggers the next BBD check. If the displayed date is incorrect for that product, it needs to be reported via Hub Alert.

[INFO] Hub Alert Improvements (live on Wed 15.03)

  • What's changed:

    • Only 3 Hub alert notifications via Slackbot at 10:00, 13:00 & 16:00

    • Every Hub alert notification will include the number of tickets completed since last notification, ticket numbers & the link to the daily dashboard

    • Daily dashboard tickets grouped by hub action types (e.g. 'Inbound before midnight', 'Sell via TGTG', 'Action needed - see comment')

    • The daily dashboard only displays 'open' incomplete tickets. Once the action is done and the 'complete' button is clicked, it's no longer visible on the daily dashboard.

  • Key Benefits:

    • Less hub alert notifications which means checking only 3 times a day

    • Overview of open actions grouped by type for easier understanding of what to do and compliance

[INFO] One Person One Device (Rollout planned on Tue 22.03)

  • What's changed:

    • Hub employees get one zebra to keep throughout shift and do NOT share

    • Ops Associates only need to log in once at start of shift

    • Holster and cart mount equipment provided

  • Actions & Deadlines:

    • Hubs to attend an introductory meeting being scheduled next week

    • Receive packages with holster & cart mounts planned for 20-24Mar (subject to change)

    • Share one pager with ops associates

  • Key Benefit:

    • Log in and out once with this update (no unnecessary logging in/out)

    • Visibility of all tasks completed per person since no sharing

    • Attach & detach smoothly with new holster and cart mount

    • Switch between tasks faster

[Hub Portal Update - Temp Offline Reasons- Live Thu 16 Mar]

  • What's changed:

    • When you click on 'Set Temp Offline' you'll need to select a reason.

    • You'll see the reason selected in the order dashboard under the rider's name.

    • This means you'll have a better overview and visibility of rider workload, when they're not riding.

Delistings & Shelf Changes

[ACTION] Shelf Changes

  • Tonight after closure we have some shelf changes based on your feedback and to optimize some more overcrowded shelves.

  • Please move the products to their new shelves tonight after closure or tomorrow before opening!
    Changes will be made in the system overnight.

[INFO] No Delistings this week

Please check your Looker send-out from yesterday for previously delisted products which still have stock in your hub, and outbound them following the instructions in the email. In case of any issues, please contact Daan den Bieman.

  • The 9th edition of the Department Marketplace was a great success! (New) Shift leads & Hub Managers joined us to ask questions to department heads to learn and understand more about Flink's overall goal, so that they will take that away with them to their hubs!

Procurement / Fleet Updates

[ACTION] Service issue reporting

When a mechanic does not show up in the hub, or leaves too many bikes un-repaired, please fill out the new workflow in the procurement-fleet-updates slack channel.

  • Start a workflow in the #procurement-fleet-updates slack channel (same way as you start it for an emergency hub closure)

  • Fill out your hub

  • Choose one of the issues

  • Explain as much in detail as possible what is your problem

  • The output is directly shared with Cycle, so please explain it very clearly.

  • You receive a copy of your reported issue on your slack by Slackbot.

  • An overview of the issues reported can be found on this sheet. Cycle can comment on the issue and will be visible in the sheet, so please keep an eye out after you reported the issue.

  • We created one form to combine the service schedule with the overview of reported issues. We will delete the previous service schedule sheet. You can find the new service schedule in the same sheet as the issue reporting here.

Swapfiets hubs:

  • The remaining Swapfiets hubs will change to Cycle in the coming weeks, so please already save this sheet to your hub PC and share the new workflow to all SL. We will send this info again once you changed to Cycle bikes.

  • If a bike is stolen, please fill out this form, which you can also find in the "Submit a request" here on Zendesk. This form requires a police report already, so you don't need to contact (mail/slack) Robin Hekelaar anymore.

Rider Ops

[INFO / ACTION] MinMax Change of Contract Flow

As of now HMs can request Min/Max contracts for riders that are with a 0-hour contract or even increase amount of hours for riders that already are Min/Max.

To avoid overstaffing, we aim to have maximum 40% of hours needed covered by min hours.

How will that work?

  • On this file you can check how many hours you have available for MinMax contracts. (See tab 'Overview Hours')

  • Based on that, you can request contract changes via the same file, under tab 'Contract Change Request'

  • SLA for contract change is 4 business days and will be handled by Rider Care Team

Let's use that tool to recognise good work for riders that would like to move to Min/Max contracts. If any questions, please reach out to Leila Lima.
