To abide by the BIO regulations and to prevent cross contamination, we have to store our unpackaged BIO products separately from other products.

Work process update:

  • All BIO bananas must be stored on a dollie inside a green crate with the plastic removed

  • ONLY bio bananas need to be labeled (BIO shelf label NL.pdf). All other bio products do NOT require a bio label in future.

[Insight💡] Self cleaning / CWS

This week, we start off with self cleaning in all our hubs!

Work process:

  • All hubs can book 7 hours per week for cleaning, including this week.

  • Ensure that what is booked on Quinyx and the HubOne app is the same!

  • Equipment can be ordered on Coupa. See the cleaning equipment list here.

  • CWS will deliver toilet paper, hand towels and hand soap monthly to your hub. If you need extra products, you can order them in the #nl_hub-managers channel by creating a workflow.

[Insight💡] Broken battery cabinets reporting

To ensure that we have good working battery cabinets, we need your help to get an overview on all broken cabinets. Extended deadline 1 August EOD, if there is no response, we assume the cabinet is in perfect condition and needs no service.

When do you need to report a broken cabinet?

  • When you have a broken door / when the door is not auto-closing.

  • When you have a broken shelf.

  • When the doors cannot close due to an obstruction coming from the cabinet itself (not battery cables).

  • If you have reported a cabinet in the last 12 months and it has not been fixed.

The risk indication and evaluation is a legal document that lists the potential risks and plan of action inside an organization.

  • Note that this does not need to be printed out, but you and your SLs should know at all times where to find it during an inspection.

This is the last week of the Inventory & Inbound KPI Competition (July) and we have a winning hub. Congratulations to:

From 87.6% last week to a total score of 90.4%!

Message from the hub: What an honor to win this competition, this is a huge moment of celebration for the hub. We work everyday as a team hard to serve our customers the best way we can. I hope we will be winning again in August so for all the other hubs: Let's try to beat Gro Cent!

[Insight💡] Inventory & Inbound Month update

We still see a huge amount of hubs struggling with pacing up against other hubs.

Find below the information on how the KPI Score is calculated and what initiatives you can take to perform better.

How do we calculate the score?

We use all metrics shown here to calculate the score. Every hub starts with 100% and all metrics will be deducted as followed, as an example:

Start = 100%

(minus) - % reported items (EAN swipes) 4.2%

(minus) - Fill rate (100 - 91.3% =) 8.7%

(minus - Inbound Checker (100 - 95% =) 5%

(minus) - Negative Corrections 1.5%

(minus) - % corrections per check (divided by 2 =) 5.6%

End = 100 - 4.2 - 8.7 - 5 - 1.5 - 5.6 = 75%

How to improve these metrics?

Reported Items

Set a realistic target and review it daily in the Afternoon Sendout for optimal tracking.

Fill rate

Limit dropping lists to one LL container capacity. During inbound and outbound processes, inspect products for damage or expiration, using the outbound feature on the inbound list for any discrepancies.

Inbound Checker

Regularly monitor the Inbound Checker throughout the day for consistent oversight. If you encounter inbound errors, please report this in #inbound_errors_issues.

Negative corrections

Always apply the appropriate outbound reason. Avoid using ‘negative stock corrections’ for items that are damaged or expired.

Stock corrections per check

Use the restocking feature. It's recommended to create restocking lists before peak time, i.e. after inbounding, mainly for dry drinks (beers, wine, soft drinks) as they have the highest skipped items %. Ensure the shelves and the backstock are in order, as to avoid inaccuracies in the inventory. Unseen items can lead to correction errors.

[Insight💡] UberEats update

We've just released an updated version of marketplace integrations that fully integrates with the hubs’ opening hours. This means that Uber Eats will have the same working hours past midnight and scheduled closures.

So the issue with orders outside of business hours should be fixed now!

[Insight💡] New threshold for Request Restocking

We adjusted the requesting restock threshold from the minimum of one Handling Unit available to 0,5 Handling Units available. This threshold is now set for the “restocking during picking” feature and to add a product to the restocking list.

[Action 🚨] Compliance with labor law

As discussed during the Hub Manager Quarterly, being compliant with labor law is of the utmost importance to deserve our license to operate, and is key for us all to be good employers.

On zendesk you will find a comprehensive overview of the labor law regulations, and a sheet with golden rules. Please ensure all of you, your Shift Leads & OA+ are familiar with these rules, and follow the Quinyx notifications on these rules accordingly.

[Insight💡] Refer-a-Friend program push

We encourage Hub Managers to actively promote our "Refer-a-friend" program among their Rider crews through their internal communication channels, especially among young Riders. Their support in communicating this program may significantly enhance the program’s visibility and our recruitment efforts.

Here’s how it works:

  1. Riders go the workforce app to find their referral code.

  2. Riders share their personalized referral link (found in the WF App) with any of their friends via different channels.

  3. Their friend(s) gets hired, they’ve completed a full month with Flink, with 0 no-shows and worked at least 5 shifts.

  4. Both parties will receive the bonus with their next salary once all the conditions above are fulfilled.

[Insight💡] New frequent illness process

As per August 1st, you will receive via Slack the information on people who require a frequent illness conversation on a monthly basis.

Here’s how it works:

  1. You receive the slack message with key absence information of all people who require a frequent illness conversation.

  2. Invite the people for a face-to-face meeting before the end of the month.

  3. Have the conversation.

  4. After the conversation, capture the insights and agreements in this form.

Reminder: never share medical information from others, verbally or in writing: this is not allowed under Dutch Law. Always agree with a sick employee what to communicate to the wider team, aside from the general statement that someone is on sick leave.

[Action 🚨] Stock transfer: Coppa Cocktail Strawberry Daiquiri

Currently, we are selling the Coppa Cocktail under an incorrect deposit SKU. Because of this, you need to perform a stock transfer to the correct SKU, which is a non-deposit SKU.

Please check your inventory and outbound and transfer the stock to the correct SKU, as shown below:

Shelf Changes

[Action 🚨] Shelf changes for Hub 3.0

In today's shelf changes, there are some products currently placed on shelf 999X that will be assigned to a new shelf.

Additionally, it may also happen that some products appear as “New listings”, but you might already have them in stock on shelf 999x. Please check there, and in case you can’t find them, that means you haven’t received them yet.

The shelf changes will be uploaded to the respective folder in the late afternoon, so check around that time.

[Action 🚨] New facings logic for dry products

Starting from August, we are going to implement a new facings logic for dry products to further optimize the space. Facings will be updated on a monthly basis, thus we advise you to comply with what you see on your Zebra. You’ll see information such as in the following example: SU/HU - 1 facing.

[Action 🚨] Shelf building for XL Hubs

For all the XL hubs, we will build 10 more racks from D61 to D70. This will provide more space for August listings.

You can find the corresponding numbers for your hub in your floorplans or shelf mapper.

The deadline for this task is Friday, August 2nd.

The estimated time for building three racks is approximately 2.5 hours. You can find the instructions here.
